ACCOMMODATION

NECA has secured rooms at the conference venue, The ACE Hotel, with favourable rates available exclusively for attendees of the Conference. By booking your accommodation as part of your online registration, you can also lock in the discounted rate.

 

Multiple room types are available but room numbers are strictly limited and we recommend booking your preferred option quickly.  May is a very busy time of year for Kyoto meaning that limited accommodation at other properties will be available and rates are high, although still much lower than the peak cherry blossom season. 

 

All rates below are for the room only and include local taxes & fees. Breakfast can be purchased directly at the hotel.  We recommend viewing the breakfast options and considering the ala-carte option. 

 

Please note a credit card guarantee MUST be received with your registration to secure your booking. Payment for all accommodation rooms will be taken 40 days prior to the conference on 24 March 2025. We have tried to negotiate flexible terms and conditions as much as possible. Before making your selection, please ensure you read the payment terms and cancellation conditions below.

The ACE Hotel

Ace Hotel Kyoto stands at a crossroads of ancient artistry and contemporary cool. Crafted in genuine dialogue with Kyoto’s historical and future legends, this boutique gem is guided by an East-meets-West philosophy, from the building’s interiors to its three distinct restaurants, each one helmed by a venerated American chef. There’s also Japan’s first Stumptown Coffee Roasters outpost and a verdant courtyard garden.

 

Located in central Kyoto, the hotel has a direct connection to Karasuma Oike Station South, which means after you’ve explored one of the best places to stay in the city you can catch the train to just about anywhere. The ACE Hotel is the location for all conference sessions. Transport is provided from the hotel for all social functions and partner activities. 

 

Facilities in the hotel include 24-hour gym and front desk as well as free WiFi.

Room options:
 

The conference secretariat has secured certain room types as part of a block at the ACE Hotel, these are listed below. Additional room options exist at the hotel but are at higher price points and are very limited.

Please note there are different room rates applicable for different dates at the hotel. May 3, 4, 5, 9, 10 have a higher nightly rate due to weekend/public holidays than the 6, 7, 8 May. Rates include a 13% service charge, 10% consumption tax and accommodation tax. Breakfast is not included but can be purchased at the hotel.

 

Double occupancy rates are listed below. Please note the price will increase if you have triple occupancy.

Standard King:

1 King bed - 30m2 | Max occupancy 2 adults

Standard King rooms have a king-size bed, window seats, a Tivoli radio and a turntable by TEAC. Bathrooms feature slate tiles and natural ash wood ceilings plus a soaking tub and separate shower.

 

6, 7 and 8 May: JPY 48,234 per room (double occupancy)

3,4,5,9 and 10 May: JPY 59,421 per room (double occupancy)

Standard Twin:

2 Double Beds - 36m2 | Max occupancy 2 adults & 2 children (below 12yrs)

Standard Twin rooms have two double beds, a Tivoli radio and window seats; some have garden views. Bathrooms feature slate tiles and natural ash wood ceilings and come with a soaking tub and separate shower.

 

6, 7 and 8 May: JPY 53,206 per room (double occupancy)

Deluxe King:

1 King bed - 30m2 | Max occupancy 2 adults

Located on our top three floors, Deluxe King rooms have views of the city, king-size beds, window seats and a TEAC turntable. Bathrooms feature slate and natural ash wood plus a soaking tub and separate shower.

 

6, 7 and 8 May:JPY 50,720 per room (double occupancy)

Deluxe Twin:

2 Double Beds - 42m2​ | Max occupancy 2 adults & 2 children (below 12yrs)

Deluxe Twin rooms include two double beds and your own private balcony. Bathrooms feature slate tiles and natural ash wood ceilings plus a soaking tub and separate shower. The Deluxe Twins are the only rooms in the hotel that it is possible to request interconnecting rooms and have a rollaway.

The extra big Tatami Suite features four elegant tatami futons and a private bar, plus a double vanity and TEAC turntable. Bathrooms feature slate tiles and natural ash wood ceilings plus a soaking tub and separate shower.

Additional Hotel Information:

If you want a rollaway bed, it’s 6,215 JPY (service charge and consumption tax included and accommodation tax excluded, per night) and are based on availability — please let us know if you’d like to request one. Rollaway beds can only fit in Deluxe Twins, Ace Suite, and Loft Suite. There are very limited Ace and Loft Suites at the hotel. ACE Hotel classifies a child of up to the age of 12 years old. 

 

Payment Conditions:
Credit cards will be required at the time of registering to secure your accommodation booking and will be held securely by the conference secretariat. Credit cards will be charged by NECA on 24 March 2025 for the full accommodation amount booked in JPY. NECA and Concept Event Management are not responsible for any fluctuations in exchange rates that apply on the date chosen for payment. Accommodation rates listed will be provided to delegates who book through the Secretariat and will not be honoured if booking directly with the hotel.

Cancellation Conditions:
Please note the Ace Hotel Kyoto has strict pre-payment conditions and because of this, NECA will be making a deposit for accommodation on behalf of all delegates. Therefore, cancellation conditions must be made in writing to the conference secretariat and are as follows:
Cancellations after 13 December 2024 – 1 night’s accommodation fee will be charged
Cancellations after 28 February 2025 (including no shows) – full accommodation amount will be charged.
